Conference Delegate Terms and Conditions
1. Individual AER Regional Conference registration fees include: 2 1/2 days of conference programming, including COMA’s Conference Within A Conference, Opening Reception, continental breakfast Friday, Saturday and Sunday, printed conference program, and unlimited access to the AER Exhibit Hall.
2. Fees do not include housing, transportation, lunch or dinner.
3. Student members must show student ID at registration.
4. Guest Fee is for non-vision professionals only. Guest badge includes Welcome Reception, Exhibit Hall, continental breakfasts. Does not include access to conference programming.
5. Daily Registration rate only available on site at the meeting.
6. You must register for the conference in order to attend the Pre-Conference Workshop on Obstacle Avoidance. Space is limited to the first 35 registrants; a waiting list will be maintained. Credit cards will not be charged until workshop participation is available. Wait listed participants will receive separate notification.
7. Name badges are required for participation in all conference events and will be prepared from information provided on this registration form. Admittance to any function of the conference requires the appropriate badge. Badges may NOT be transferred, exchanged or shared. Badges may not be altered or defaced in any way. There is a $25 replacement fee for a lost badge.
8. Hospitality functions and any other function, gift or service involving delegates will not be permitted during the AER Conference without written approval from AER.
9. Delegate agrees to indemnify and hold harmless the Association for Education and Rehabilitation of the Blind and Visually Impaired against all claims of damages, losses and charges of any kind resulting from Marketplace participation.
10. The Association for Education and Rehabilitation of the Blind and Visually Impaired cannot be held liable for any financial responsibilities incurred on the part of individual participants.
11. Any photographs or film coverage of delegates during the conference may be used at the discretion of the Association for Education and Rehabilitation of the Blind and Visually Impaired in future publications or videos.
12. All delegates must comply with all Association for Education and Rehabilitation of the Blind and Visually Impaired policies at all conference functions. The AER Policy prohibits harassment and discrimination so that AER may maintain a pleasant working environment for its employees and members, free of any intimidation or hostility. Any violation of this policy will be reported to AER’s Executive Director and/or Conference Chairman and will be addressed immediately.
13. It is understood and agreed to that failure of a participant to comply with the above conditions may prohibit future participation in AER Conferences.
14. No refunds will be given for onsite cancellations, late arrivals, unused services, unattended events or early departure. It is the delegate’s responsibility to submit a cancellation request in writing to AER via mail or e-mail (aer@aerbvi.org) early enough so that it is received in the AER office by the appropriate dates. Registration fee for cancellations postmarked prior to Sept. 12, 2009, will be refunded less a $35 processing fee. For cancellations received between Sept. 13 and Nov. 1, 2009, 50% of the total fee will be refunded. Refunds for conference registrations postmarked on or after Nov. 2 will be made only due to hardship and decided on a case by case basis.
15. In the event the AER Regional Conference is cancelled, there will be no refunds.
